What does a caretaker service cost? The five price factors
Why there is no single price, what the costs are made up of and how to compare quotes for your property fairly.
“What does a caretaker service cost?” is the question owners and property managers ask most often — and the one that can least often be answered with a single number. Two residential complexes with the same number of flats can have very different costs. Why that is, what the price is made up of and how to compare quotes fairly.
The five factors that determine the price
- Scope of services: only inspection rounds and small repairs? Or also stairwell cleaning, grounds maintenance and winter service? Each service has its own time requirement.
- Cycle: weekly, fortnightly or monthly makes a big difference for the same service — as do seasonal peaks (leaves in autumn, winter service).
- Size and condition of the property: number of stairwells and floors, area of the grounds, length of footpaths that must be cleared, age of the building services.
- Location: a property on an existing route is cheaper to look after than one that needs a dedicated trip.
- Billing model: a monthly flat rate, hourly billing or a combination of a base fee and individual services.
Flat rate or by effort?
A monthly flat rate makes costs predictable and is common for recurring services such as stairwell cleaning and grounds maintenance. Billing by effort makes sense for irregular work such as repairs or special call-outs. Many contracts combine both: the basic service runs at a flat rate, anything beyond is billed by hours and materials. What matters is that the contract states clearly what the flat rate covers.
How to compare quotes fairly
A low monthly price means little if it is unclear what is delivered for it. Look out for these points:
- Is there a specification of services — with tasks and frequencies?
- Is winter service included or a separate item, and how often is re-clearing done?
- How are visits documented — is there evidence for tenants and owners?
- How long is the contract term, and how quickly can it be cancelled?
- Is there a fixed contact person, and how quickly are reports dealt with?
The costs are often lower than they look
Many caretaker and cleaning services can be passed on to tenants as operating costs if the tenancy agreement provides for it. Owner-occupiers can claim the tax reduction for household-related services. Details in Passing on operating costs and Deducting a caretaker service from tax.
One provider or several?
Awarding cleaning, grounds maintenance and winter service separately sometimes brings lower individual prices — but you pay with coordination effort, several contracts and several contacts. The trade-off is discussed in Caretaker service or separate firms.
